Why We Love Yacht Management Software (And You Should, Too!)

Why_we_love_yacht_management_software-1Spring is here! And with the season of freshness and renewal comes an itch to clean, purge and organize. But for many of us, getting a handle on the organizing piece is so daunting that we put it off, and put it off until…next spring!

It happens in homes and it also happens on vessels--your yacht would run so much more efficiently if you could just ORGANIZE everything. But where to start?

What if someone broke down the tasks of organizing the business of your vessel for you, only requiring you to plug in the necessary information to get the yacht organizational scheme of your dreams?

One of the best ways to do this is to implement a comprehensive yacht management software program. Sure, it takes a while to import your information, but once it’s up a running, a good vessel management program—one with interactive data—can be a Godsend, saving you many, many hours of work and stress.

So you want to know exactly why we love good yacht management software? Read on.

What can yacht management software do for you?

Track and schedule your vessel’s maintenance and repairs.

After you enter your equipment, spares and maintenance schedule in the program’s database, the program notifies you when equipment is due for maintenance. It also tells you whether the spares necessary are on board, along with their location. If spares are used in a job, the spares inventory is automatically updated.

You can also set a reminder in advance to give you time to order any necessary spares before scheduled repairs or maintenance.

Manage your crew’s work list.

You schedule crew members to perform work tasks and they update the task with completion status, notes, and progress reports. More complex work list items can contain detailed instructions, spares needed, time allocated, etc. Crew can update a task’s progress, which automatically updates the work list.

Maintain your vessel’s Engineer's Day Log, Running Log, and Deck Log.

Have one repository for all logs, each of which can be emailed, printed or turned into a report. You search on log dates to automatically view log information recorded by the crew.

Keep track of inventory and spares in all departments.

Know immediate counts for each item on board at any time in every department, along with their location on the vessel. Inventory lists can include re-order information for each item, so you can seamlessly create purchase orders based on low inventory levels.

Manage your Crew and Guest documents and information.

You can keep track of crew employment documents including copies of passports and documentation required by MLC 2006 and other directives. Receive automatic advanced notification when crew documentation requires renewal.

Keep up-to-date records of crew hours of work and rest, which can be automatically compiled into a report. Triton Administrator yacht management software even has an Hours of Work and Rest app for crew to record their hours using a smart phone or other mobile device.

Organize owner and guest documents, including information regarding food preferences and special medical needs.

Organize and store key vessel drawings and documents.

Have immediate access to yacht blueprints, certifications, reports and all other documents. These can be used for inspections or for reference during maintenance or refit projects.

Safety Management System and ISM reporting.

Keep accurate and up-to-date safety records for regulatory agencies that are searchable and can be emailed, printed, or formatted as a report.

Keep accurate accounts of money transferred between departments.

Automatically calculate exchange rates and monetary transfers between different departments on the vessel using a variety of currencies.

Once you are up and running, yacht management software lets you email, print and create reports using any of the data entered in the program. You can share the information with your management company, owner, crew and regulatory agencies.

Are you ready to get organized?

If the possibility of streamlining your worklists, having all documents immediately accessible, and being notified when registrations, licenses, training certificates and other key documents are up for renewal excites you, you might be ready to implement a comprehensive yacht management program.

But if you make the commitment to get organized, use a program specifically designed to manage vessels. And be sure to take the time to properly and thoroughly enter your data into the program. Because as we all know, even the best piece of software is only as good as the data that's in it. Also, train yourself and your crew on how to use the program correctly for the best results.

I have been working with Great Circle Systems since 2006 when they did the installation of all our networking and Internet communications equipment on our boat being built in Germany.

The equipment they recommended and installed was exactly as we required.  We have had extremely good results with all of their equipment and it has performed as they had advised.

I would highly recommend them to all fellow captains.
