Paperless Check Lists using Triton Mobile

Check Lists have become the mainstay of safety maintenance compliance. Even yachts that are not required to follow ISM requirements benefit from a fully developed Safety Management System (SMS). Of course, the last thing an engineer or deck officer needs is more paperwork.

Luckily, by setting up check lists in Triton Administrator, yacht crew eliminate tedious paperwork and improve the vessel’s safety with proactive safety equipment maintenance.  And now completing a check list is even easier with Triton Mobile!

Triton Mobile is a new feature of Triton Administrator that lets you get out from behind the desk. Now crew can carry out their duties in any area of the vessel, using their own smart phones or tablets. Triton Mobile is designed as an “occasionally-connected” cross platform app, which means Triton Mobile works without being connected to the Internet or even the boat’s Wi-Fi network. When your device is back in an area that detects the network, the app synchronizes with the database on the server and your changes are saved.

Unlike other mobile apps, Triton Mobile Check Lists are integrated with Equipment and work or task lists. If you come across a defect, the Check List automatically puts it on the Work List for repair or replacement. Any spares used in the repair will be withdrawn from Inventory, which has its own automated features in Triton.

Another unique feature of Triton Mobile Check Lists is the audit trail. Tasks on Check Lists are logged against the equipment the task is performed on, automatically generating a maintenance history for each item. Like all Triton features, this conforms to the underlying philosophy of “things stay together that are meant to stay together.”

Let’s walk through a typical check list exercise:

Completing a monthly check list on safety equipment means walking around the boat to visually check all gear. With Triton Mobile you can enter the information directly into Triton, automatically adding to the maintenance log for each item of equipment, and fulfilling SMS documentation requirements.

Log in to Triton Mobile by selecting your name from the crew list, just like regular Triton Administrator:

and select Check Lists.

This loads current Check Lists. You can also elect to see all Check Lists. Select the Check List you want to complete. For this exercise we'll choose MONTHLY Check List Safety Checks 3.

Note the number of items in the Check List is displayed in the upper right corner. The items are arranged in the order the check list was built, but you can also sort by equipment. Select the 3-line menu icon on th left, and click “Equipment” to group equipment together.

Select the box under Pass of Fail for each item. If you need instructions on how to complete the task, touch the blue button for details. A pop up window will show you the steps needed to complete the task. Click "All Checked" to mark the item "Pass".

If you are checking an item and there is a Non-Compliance issue (NC), click the orange Defect button and fill out the NC report. When you save the defect report the NC line item is highlighted in red.

As you fill out the fields and designate a person to fix the defect, scroll down and check the box at the bottom of the page if this is SMS required, and then click on Save Defect.

This automatically logs the Defect and puts in on the appropriate work list for repair or replacement – no need to make a separate note!

Continue down the list until you have completed the Check List. Or, you can streamline the process by selecting the Pass box above the first item on the list, which checks all the items as “Pass”., then change the defected items to Fail before you update changes.

 Once your Check List is complete, select Update Changes and the Process Checklist screen will appear.

Fill out the date, person performing the check list, the log text, and everything is entered into work lists for defects and maintenance and safety logs for tracking.

Best of all, completing the Check List will trigger the next one due. Since everything is connected in Triton, your work never needs to be duplicated. The Check List history can be collected by date, by equipment, or by department, to meet all SMS and auditing requirements.
